Phase II – Partial Reopening of Sun Village Association Community Center

These are uncertain and challenging times that we face together, and please know that we are doing everything we can to implement strategies and protocols that we believe help to keep our on-site team and the Sun Village residents aware, informed and as safe as possible.

The impact of the COVID-19 pandemic is constantly evolving and surfacing new challenges for our on-site team and for the Sun Village residents.

As we look to the horizon, we will continue to encourage all residents to adhere to the directives given by local, state and national authorities and refer to qualified health professionals like the CDC and World Health Organization (WHO) as the primary sources for information.

While some  community amenities have been in lockdown, FirstService Residential associates, operating under the essential business directives from federal, state and local authorities, have been diligently working to manage the day-to-day operations here at Sun Village and provide exceptional customer service through enhanced communication and virtual activities and programs.

As stay-at-home orders are lifted and foot traffic picks up inside our community, it is important to have a phased and disciplined approach to re-opening amenities and common areas, as well as handling social events that continues to safeguard the health of the community. Although the lifting of orders allows more access to various services and places, it is important to remember that the COVID-19 pandemic continues. For this reason, the recommendation to adhere to the CDC social distancing and cleaning guidelines, along with local mask requirements will remain in effect until the pandemic is lifted or other direction is provided by the CDC.

Phase II Soft Reopening of the Community Center

Beginning Monday August 31, 2020 we have opened some of the amenities in the Community Center. Keep in mind that masks will be required and we ask all residents to practice physical distancing and not to gather more than 10 people while you are visiting any amenities within the Community Center.

The Association Office, Condo Office and Activity Office will operate by appointment only. You can reach the Association Office and Condo Office at 623-584-6904 and the Activity Office at 623-546-8693 to set up an appointment.

We encourage our residents to continue to use the “no contact” cart for forms such as; landscaping requests, architectural forms, etc. The cart will be located just within the main doors of the community center. We pick up and process these forms daily. Many of these forms can be found on our website for download.

Amenities that are open: Rec Center Lobby, Billiards, Darts, Sewing Room, MPR, Gift Shop (Hours: Tuesday and Thursday 10 am – 2 pm), Pro Shop, Golf open to the Public.

For your convenience, there are hand sanitizer stations located throughout the building.

Amenities that remain closed: Resident’s Lounge, Video and Book Library, Puzzle Area, Upstairs Poker Room, Meeting Rooms.

To help address the Covid-19 pandemic we have listed below a few basic guidelines adapted from information from the CDC and other health authorities and considered the rapidly escalating coronavirus outbreak and its current increased spread here in Arizona.

Stay home if you are sick
• Choose to self-isolate if you fall into a high-risk area
• Avoid close contact with people who are sick
• Wash your hands often with soap and water for at least 20 seconds
• Avoid touching your eyes, nose or mouth
• Clean and disinfect frequently touched objects and surfaces
• Cover your face when in public
• Follow social distancing
• Wear a mask

 Although you may not see us in the community every day, please know that we are here, and our focus is making sure that we are serving and supporting Sun Village effectively during these trying times.

Phase II Amenity Re-Opening  – Fitness Center Re-Opening Update

Breaking news! The Arizona Department of Health Services (“ADHS”) has taken the position that residential community associations are authorized to immediately re-open and operate, their indoor fitness centers/gyms, without the need to either seek ADHS’ approval or comply with ADHS’ detailed Indoor Gyms and Fitness Center requirements.

We are pleased to announce the re-opening of the Sun Village Fitness Center beginning Thursday, August 27, 2020 at 5:00 AM. Mandatory masks required to enter the building.

While masks are not required during a workout we stress the importance of maintaining physical distancing and wiping down all equipment after use.

We thank you for your patience as we continue phasing in the opening of other areas of the clubhouse.

REFUND PROCESS HAS BEGUN

IMPORTANT INFO REGARDING REFUNDS  –  PLEASE READ CAREFULLY

As part of Phase 1 – Partial Office Re-opening, the Activity Office has begun the ticket refund process for shows and events that were canceled earlier this year due to COVID-19. Refund transactions began Monday, July 27, and take place in the Multipurpose Room (MPR) from 8 AM to 12 PM, Monday thru Thursday. We will handle refunds in this manner until Friday, August 7. Thereafter, refunds will take place in the Activity Office by appointment only. For those that are away from Sun Village, we will continue the refund process throughout the season, so you can make an appointment in the Activity Office upon your return. Please DO NOT MAIL IN TICKETS.

To avoid crowds and long wait times in the MPR, we have created the following alternating schedule by last name. You do not need to make an appointment prior to August 7, just show up during your allotted time according to last name:

Safety protocol:

MASKS ARE REQUIRED TO ENTER THE BUILDING. If you are unable to wear a mask or protective face shield due to a medical condition, you will be asked to wait outside and a staff member will assist you in the order in which you arrive. There will be hand sanitizer available upon entry to the MPR and the entire process will be as “contactless” as possible.  We have set-up two refund stations with a plexiglass barricade between staff members and residents. There are social-distancing markers on the floor to help guests stay at a safe distance. A maximum of 6 guests will be permitted to wait in the room at any given time. All ticket-holders for canceled events will receive a refund so it is not necessary for you to rush in at all once. Guests will be required to wait outside if there are more than 6 people in line so we encourage you to space out your arrival accordingly.

YOU MUST HAVE YOUR TICKET TO RECEIVE A REFUND. SORRY, NO EXCEPTIONS. Ticket-holders will exchange each ticket for cash and will be required to sign a refund acknowledgment slip. To avoid long wait times for other guests, no more than 8 tickets PER EVENT can be returned by the same guest. Pooling large quantities of tickets are prohibited.

Golf Course Maintenance Schedule

Golf Course closures as we prepare for Aerating:

          • Front nine closes July 6th Monday through Wednesday, July 8th.
          • Back nine closes Wednesday, July 8th through Friday morning of the 10th.
          • Prepping the golf course for next week’s aerating of the greens.
          • Trimming the Oleanders around the bridges at Pima Park.
          • Pima Park has resumed a night time watering schedule starting around 9 pm.

Our offices will be closed Friday, July 3rd for the Holiday Weekend

Gov. Doug Ducey issues another Executive Order

Governor Ducey has issued another Executive Order imposing new restrictions on business operations, including bars, gyms, and pools, among others.

Effective immediately our Fitness Center is closed until further notice.

A reminder for our Pools (Zuni and Community) to maintain physical distancing and that groups larger than 10 should not congregate.

Q: When will the Community Center/Pool be open for use?

A: When Governor Doug Ducey removes the “Stay at Home” order, our BOD will review and decide how our Community Center can operate with safe distancing measures and modifications.

A: Please hold on to your tickets. When the “Stay at Home” order is lifted our Lifestyle Office will release information on the reimbursement process of previous ticket sales.

Q: When will Chef Peter’s Bistro be open for Dine-In business?

A: Chef Peter’s Bistro will be open for dine-in business beginning Monday, May 11, 2020, with limited seating, using social distancing and extra sanitary measures.

Q: Where is Carmello?

A: We are proud to announce that Marley Park is now part of the FirstService Family and Carmello Musarra has been chosen as their new General Manager. We are proud to announce that Doug Paige (Safety Doug), has accepted the position of Assistant General Manager.

Q: Why is the road striping fading so fast?

A: We are experimenting with paint and also communicating with our vendors and asphalt company to resolve the issue.

Q: When will the Pickleball Court be resurfaced?

A: PC Court is scheduled to be resurfaced beginning May 12.

Village Salon to Reopen Friday, May 8

Governor Doug Ducey has modified the existing closure order to allow barbershops and salons to resume hair, nail, waxing, and other services by appointment beginning Friday, May 8, 2020.

The Village Salon will be reopening for business and plans to implement the additional safety measures as outlined in the new order.

Chef Peter’s Bistro to Reopen Monday, May 11

Chef Peter’s Bistro will be reopening for dine-in and plans to implement the additional safety measures as outlined in the new order. In addition to dine-in service, Chef Peter will continue to offer curbside and delivery service and Drive-Thru Parties will also continue.

As we prepare to reopen the restaurant for dine-in, we want to assure our guests that we will be following all government guidelines and taking additional voluntary precautions to ensure the safety of our patrons.

          • Implementing a basic symptom screening for employees prior to the start of their shift.
          • Taking forehead temperatures on employees and patrons upon entry to the restaurant.
          • Maintaining physical distancing, with tables at least 6′ feet apart, and limiting parties to no more than 6.
          • Operating with reduced occupancy and capacity.
          • No waiting permitted in the hallway. If there is a wait time, the restaurant staff will send a text using a special APP when your table is ready.
          • Continuing comprehensive sanitation protocols.
          • Continuing to provide delivery or curbside service.

Transition of Rye Grass over to Bermuda Grass

As everyone knows it’s quickly turned hotter than normal for this time of year. Based on the high heat it is time to change over from our Winter Rye to Bermuda Grass not only on the golf course but throughout Sun Village.

Every summer there is a transition period that you will see the beautiful Rye Grass turn brown, not all Rye Grass will do this all at once. Our landscaping team will begin lowering mower heights each week to remove dead grass.

By doing this it will allow Bermuda Grass to begin growing. We will also be aerating the golf course and retention areas in Pima Park during this time to help move water and let air in the soil.

We appreciate your patience during this transition period.

Sun Village Community Center Closure Update

Extended Clubhouse and Amenities Covid-19 closure

During the April 23, 2020, BOD Meeting The Board voted to review and follow the guidelines of the State Governor Doug Ducey and the CDC to determine the extension of the closure of the SVCA Clubhouse and Amenities.

Wednesday, April 29, 2020, Governor Ducey issued Executive Order 2020-33, “Returning Stronger,” amending the “Stay Home, Stay Healthy, Stay Connected Order” issued March 30th. This new Executive Order extends the original Stay Home, Stay Healthy, Stay Connected Order until May 15th.

This new Executive Order does not change the status quo existing under the original Stay Home, Stay Healthy, Stay Connected Order except to extend it until May 15th.

For those community associations that operate restaurants as part of the community amenities, Governor Ducey has stated that he is working to put together a plan to allow restricted dine-in operations in the near future.

We will keep you updated as to any changes to Chef Peter’s Bistro Operations as they become available and to the Sun Village Community Clubhouse closure.
